Q: Where can I get a copy of the schedule of events for the fair?

Q: How does the student tracking system work?
A: In an effort to help schools collect information from students for post fair follow up, AIEF has implemented the Student Tracking System, an additional service provided to all participants at no extra charge. In Taiwan, where AIEF runs a single country fair, each student receives an identification number from AIEF. As students come to your booth, you (with the assistance from your interpreter) write down the student’s identification number and turn it in to an AIEF representative at the end of the day. After the Fair, AIEF will send you a list containing the contact details and academic interests of each student in English. In Korea and China, where the fair is multi-country, AIEF assists you by collecting additional names for you at the AIEF booth and then sends you the information. This system is intended to supplement your student data collecting effort.

Q: How early can I ship my materials to the venue?
A: You can have your materials shipped as early as 1 month prior to the event start date. Shipping earlier than one month may cause you to incur storage fees. For detailed instructions on shipping, please refer to the “Shipping Instructions” section in the Preparation Guide.

Q: How much material should I ship?
A: This depends on your school (size, location, name recognition, etc.) and well as the city you are participating in. We generally recommend bringing only a few larger catalogs to display at your booth while having enough flyers to hand out to anyone who would like something to take home. For the best estimate, please review our most recent post-Fair reposts for attendance statistics. If you would like to cut down on shipping material to Taiwan, we offer a printing service that can be in either black and white or color with complimentary Chinese translation (upon request). Please see the “Printing Service” section in Taiwan’s Optional Services and Preparation Guide for more information.

Q: What do I need to bring to decorate my booth?
A: You can decorate with posters, pictures, flags, various school paraphernalia, etc. You should also bring/ship some double-sided tape and something to cut with (i.e. scissors or a box cutter). A well-decorated booth draws the attention and interest of students and often makes a good first impression. In Korea, we recommend bringing translated materials where possible and even posting Korean signs. Booth decoration times can be found at:

Q: Do I need a visa to travel?
A: For Korea, Taiwan, and Singapore, you do not need a visa, just a valid US passport. For China, you will need a visa (tourist visa recommended) and a valid US passport. If you are not a US passport holder, please contact your local Embassy.

Q: Can AIEF make hotel reservations for me?
A: Yes, as a service to our participants, we can make reservations at a discounted rate in each city we organize Fair events. You can also get the discounted rate if you need to stay a few days longer or come back to the hotel after the fair. In Busan and Singapore, we provide the hotel information to you and you will need to make your own reservation at the discounted event rate. For details, please see the “Hotel Accommodations and Transportation” section of the Preparation Guide.

Q: Is there any place to advertise our school?
A: Yes, you can take out an ad in the Fair Guide for both Korea and Taiwan. You can also rent a seminar room, which allows you to present a topic to interested students for 50 minutes (45 minutes in China). For costs and specific information about advertisements and seminar rooms, please see the Preparation Guide or call our office for assistance.

Q: I plan to travel by myself. Is it do-able with just one person?
A: AIEF provides each participant with an interpreter (Busan and Singapore excluded). These interpreters can help you translate, provide information about your school, hand out materials, decorate your booth, and clean up. Where possible, AIEF hires current students from local universities so that school representatives can have a local ambassador to talk about your school.

Q: How do I get from the airport to the hotel?
A: In Korea, tickets can be purchased at these kiosks, which are located just outside the airport, when you exit from baggage claim. Tickets costs around KRW 13,000. In Taiwan, you can either arrange an airport pickup service or take the “East Line of ABC Bus” or “Da Yu Bus” (in Chinese) for approximately $7. In Singapore, we recommend taking a taxi. We recommend changing some local currency prior to your arrival or using the ATM machines at the airport upon arrival. In China, you can request airport pick up from the hotel, or you may take a taxi.

Q: What is the Cyber Fair and why doesn’t my school link to our website?
A: The Cyber Fair is a complimentary online listing, which allows students to directly contact schools before, during, and after the fairs. The information will be posted for 6 months. Our Directory Plus members receive a complimentary link to their Directory Plus profile, which helps students find information they need to study in the United States. If you are not a member, please contact us to get the exclusive rate for fair participants.

Q: Can I have alumni from the school help out at the booth?
A: You can register the alumni onsite. Although they will be able to help out at your booth, as an on-site registrant, they will not be invited to attend the orientation or any other activities before and after the fairs. If you would like for them to be included in other activities, please register them as an additional representative before the fair. Please note that you may have up to 3 people in the booth at one time (2 people for Singapore).
